Accounting for Self Managed HOA and Condo Boards

Your board runs the association. We keep the books. Monthly financials, reconciled accounts, and a board packet on the same date every month, without handing control to a management company.

The problem every self managed board hits

  • The treasurer turns over and the books leave with them.
  • The records live on one volunteer’s laptop or in a spreadsheet nobody else understands.
  • The reserve balance does not tie to the reserve study.
  • The annual meeting needs a financial package and someone has to build it at night.

Already on HOA software? Tell us which one. We work in QuickBooks Online and AppFolio, and we will tell you plainly whether your current setup fits or whether a move makes sense.

What we do each month

  • Bank and reserve account reconciliations
  • Balance sheet split by operating and reserve fund
  • Income and expense against the adopted budget
  • Payables staged for board approval
  • Dues billing, owner statements, and an aged delinquency report
  • A complete board packet on the same date every month
  • Year end records organized for your CPA, plus 1099 filings

What the board keeps

The board adopts the budget, approves every payment before it goes out, and keeps its own signers on its own bank accounts. We keep the records and prepare the reports.

Colorado specifics we keep straight

  • Annual registration. Colorado associations register each year with the HOA Information and Resource Center at the Division of Real Estate. We keep the figures the registration asks for ready.
  • Owner records requests. The Colorado Common Interest Ownership Act (C.R.S. 38-33.3-317) gives owners the right to inspect association records. Clean, organized books make those requests routine.

We are accountants, not attorneys. Questions about your governing documents belong with your association’s lawyer.

What it costs

Our minimum is $200 a month. A 60 unit association typically runs about $500 to $625 a month for full monthly service, with lighter quarterly and annual options. No setup fee, no long term contract (90 days notice).

Common questions from self managed boards

We already use HOA software. Do we have to switch?
Not necessarily. Tell us what you use and we will tell you plainly whether we can work in it.

Do we lose control by hiring you?
No. The board keeps every approval and its own signers on its own accounts.

Are we too small?
We keep the books for more than 30 associations, thousands of doors in all, from small mountain condo buildings to large communities. If an outside firm doesn’t make sense for yours, we’ll tell you so.

How fast can we switch?
Most associations are fully on our books within one month end cycle.

Do you replace a management company?
We are not one. We do the accounting only. If you have a manager, they keep handling operations.
