For licensed community association managers
Back-Office Accounting for Licensed Community Association Managers
For management firms in Florida, Nevada, Georgia, Illinois, Virginia, Connecticut and Hawaii. You stay the licensed manager of record. We do the accounting work under your direction, and your manager signs off.
We already run the full back office for a Colorado HOA management company, from every association’s monthly close to the company’s own books.

How we fit under your license
Your firm
- Holds the management contract with each association
- Supervises our work through your licensed manager
- Reviews and approves financial reports and budgets before they go to the board
- Approves every disbursement
Powder
- Does the bookkeeping, reconciliations and monthly close
- Prepares reports and payments for your manager’s review
- Never holds or controls association funds
- Works for your firm, not directly for your associations
We are an accounting firm, not a licensed community association management firm. Licensing rules differ by state, so check your state’s requirements with your own counsel. This page describes how we structure our work and is not legal advice.
What we take off your desk
Every association, closed monthly
- Operating and reserve reconciliations

Year-end, ready for the CPA
- Year-end packages for the CPA who prepares your associations’ compiled, reviewed or audited statements
- Reserve balances tied out each month
- Association tax returns and 1099s
Your own books, too
- Management company bookkeeping
- Payroll for your staff
- CFO-level support: cash flow, budgets and company KPIs
Why managers outsource the books
Add contracts without hiring
Send us the new association and we add it to the close. No recruiting, no training.
No single point of failure
A team covers your close, so packages still go out when someone is on vacation or leaves.
Your software, your name
We work in AppFolio, Vantaca, Buildium, CINC or QuickBooks, and reports go out under your company’s name.
Common questions from licensed managers
Do you contract with our associations directly?
No. In states that license managers, we work for your management firm and under your licensed manager’s direction. The board relationship stays with you.
Who approves payments and reports?
Your licensed manager. We prepare payables and financial reports, and your manager reviews and approves them before anything is paid or sent to a board.
Do you touch association bank accounts?
We reconcile them and prepare payments. We do not hold association funds or sign on association accounts.
Do you work in our software?
Yes. AppFolio, Vantaca, Buildium, CINC and QuickBooks are all familiar to us.
What does it cost?
Most portfolios land around $3 to $6 a door each month, depending on services and size. The estimate above gives you a number in about a minute.
Is there a contract?
No long term contract. Either side can end it with 90 days notice. An annual agreement takes 5% off. Your rate is held for 12 months, then adjusts 3% a year.
