Our office is in Frisco, Colorado, about ninety minutes up Interstate 70 from downtown Denver. We keep the books for about two dozen community associations across Colorado, and the associations that signed with us most recently are in the Denver metro area: a brownstone association in central Denver and a 374 unit community in the south metro.

What Is Different About Denver Metro Associations

A Denver metro association does not run like a twelve unit building, and the books show it.

  • Larger unit counts and more dues volume: a community with several hundred homes posts hundreds of payments a month. Posting has to be automated and reconciled, and the delinquency report has to be ready for the board without anyone asking.
  • Collections and delinquency: more owners means more late accounts. The board needs an aged report it can act on and records that follow the association’s written collections policy, which Colorado law requires associations to adopt.
  • Mixed regimes: many metro communities have townhomes, condos, and single family lots under one set of documents, each with its own assessment rate and cost allocation.
  • Master and sub associations: charges between a master association and its sub associations need to be allocated, billed, and reconciled correctly on both sets of books.
  • Outgrowing the current setup: boards come to us when the treasurer’s spreadsheet stops scaling, or when a management company’s bundled accounting gives the board less visibility than it wants.

What We Do for Denver Metro HOAs and Condo Associations

We Are Not a Management Company

Powder Accounting Group is an accounting firm, not a community association management company. We do not run meetings, enforce rules, manage vendors on site, or control the association’s money. The board adopts the budget. The board authorizes and releases every payment. The board’s signers stay on the bank accounts. We keep the records and prepare the reports.

We work alongside your manager or your self managed board, handling the accounting while they handle operations. Many boards keep their manager and move only the accounting.

Yes. We keep the books for associations in the Denver metro area today, and the process is the same anywhere along the Front Range: a secure portal for the board, online payments for owners, and a monthly packet by the 10th business day. Boulder, Arvada, Westminster, Centennial, Parker, and Castle Rock boards are welcome too.

What does HOA accounting cost?

We charge a flat monthly fee based on unit count and how much activity the association has. Most associations we work with fall between a few hundred and a few thousand dollars a month. We quote after reviewing your current reports, and there are no long term contracts.

Do you replace our management company?

No. We handle the accounting. Your manager or self managed board keeps handling operations, meetings, rules, vendors on site, and owner communication. Many boards keep their manager and move only the accounting.

Can you take over the accounting from our management company?

Usually, yes. Many management contracts let the board move the accounting with notice, so check yours. We request the general ledger, bank statements, owner ledgers, and vendor history, rebuild the books in our system, and reconcile to the last bank statement before the first month closes. The board keeps its manager for operations if it wants to.

Can a self managed HOA work with you?

Yes. Many of our boards have no manager at all. We take the bookkeeping, billing, bill staging, and reporting off the treasurer's plate, and the board keeps every approval.

What does the board still control?

Everything that touches the money. The board adopts the budget, authorizes and releases every payment, and keeps its signers on the bank accounts, which stay in the association's name at the bank of your choice. We keep the records and prepare the reports.

Common questions from boards

Do you replace our management company?

No. We do the accounting. If you have a manager, they keep doing what they do and we take the books off their plate. If you are self-managed, you stay self-managed.

Who can move money?

Your board, or the manager your board authorizes. Your signers stay on the accounts. We prepare payables and reporting and we do not sign, release, or hold association funds.

Do we have to change banks?

No. The association keeps its own accounts at its own bank, and your signers stay on them. Some firms require you to move to their preferred bank as a condition of taking you on. We do not ask that, and nobody at Powder is added to your accounts.

How small is too small?

We work with associations from roughly twenty units upward. Below that the numbers rarely justify an outside firm and we will tell you so.

How long does it take to switch?

Most associations are fully on our books inside one full month end cycle. If the prior records are a mess we scope the cleanup separately and tell you what we find before we start.

Are we locked in?
